A college ERP touches almost every person on campus: the admission clerk, the accounts section, the examination department, faculty and, indirectly, every student and parent. Choosing the wrong system costs far more than its licence fee. These are the questions we recommend every institution asks before deciding.
1. Does it match our fee structure?
Fee heads, categories, scholarships, concessions and instalments differ from college to college. Ask the vendor to configure your actual fee structure during the demo, not a sample one.
2. Will admission data flow into exams and receipts?
The biggest benefit of an ERP is entering a student once. If the examination module needs the same data typed again, the system is really several separate programs.
3. Can it print our formats?
Receipts, bonafide certificates, leaving certificates and mark sheets usually follow formats your institution already uses. Make sure these can be reproduced exactly.
4. Who can see and change what?
Fee collection and marks entry are sensitive. Look for user logins with permissions so that each person can only do what their role requires.
5. What happens to our data?
Ask where data is stored, how backups are taken and how you can restore them. A backup that has never been restored is only a hope.
6. How is support provided?
During admissions and exam season, a delay of one day matters. Ask how issues are reported, how quickly someone responds and whether remote support is available.
7. Can it grow with us?
New courses, new branches and requirements such as parent portals will come. Prefer a vendor that can add modules to the same database rather than selling a separate system each time.
